Sign Up When we receive a bulk order from your group, we will offer the full discount to each member of your group, based on the value of the total bulk order, and for any one in your group whose order is at least $50, we will ship directly to that individual. To make this work, here are some of the details:
1) Payment: Payment for the entire shipment needs to be made at one time from one source.
2) Invoices: The bulk buyer will get a copy of each invoice, and each package will include an invoice for the individual buyer. This way you can both track the costs of your purchases, including shipping.
3) Customer Information: We will need an easy way to enter each individual in your group into our system so we can compose individual invoices. You can either send us their information when you place the order, or send this ahead of time, so that we can put each individual into our system and be ready for you when you place your order. For each customer we will need the following information:
Personal Name
Business Name (if there is one)
Address
Phone Number
Email address (if available)If you can send this information to us in an email message, a word document, or a spreadsheet, this will be very helpful.
Then, when you send us your order, please clearly break up the orders according to the person's "Personal Name". It is helpful if you include the current address with each name at the time of the order, just in case the address changes. A spreadsheet is an excellent way of sending the order, but there are other possibilities. (Faxes are not preferable. They are often difficult to read, and difficult to sort.)4) Placing Orders: By far, the best way to submit Group Buy Orders is by a spreadsheet. We will appreciate it very much if you use the following basic format for your spreadsheets. (Please create your columns in this order. It is very helpful for us.)

It helps us a great deal if you use this exact format.
For your convenience we recommend that you create separate separate TABS for each customer. This will be a very convenient format for calculating the total for each customer's order.
It is also helpful if you presort each customer's order using the following column sorting order: 1) Item number, 2) Quantity, 3) Packaging, 4) Color, 5) Price per package, 6) Extended price, etc. This will organize your order into the exact order that makes it easiest for us to organize each order. We prefer the abbreviations for the Colors (as we use them), however, we can work with the names typed out.5) Back Orders: We can handle back orders in one of three ways:
a) No back orders for some or all individuals6) Shipping charges:
b) Request back orders to be shipped to each individual. There would be a small shipping charge for each shipment.
c) All the back orders can be shipped to the person who makes the buy at no shipping charge.
When you place your bulk order, there will be no way for you to know ahead of time what the shipping costs will be for each individual package. We recommend that you collect a shipping deposit from each individual buyer in your group to cover these costs. You could manage this as an account. For example, each buyer could make a $10-$20 deposit with you for shipping.
Both the bulk buyer (the one who submits the order) and each individual will receive a copy of the individual invoice. The bulk buyer would then know what the shipping costs, as well as the total for the order. The bulk buyer could then subtract the shipping costs from that persons deposit. This would save a lot of trouble and a lot of time. Otherwise it would have to go something like this:
a) We calculate the shipping cost of each package.
b) Send this information to the bulk buyer.
c) The bulk buyer sends this information to each individual.
d) Each individual then sends the shipping costs back to the bulk buyer.
e) And finally the bulk buyer makes the payment for all the orders including the shipping costs.
As you can see, this is a lot of communication, and would slow up each bulk order by at least a week and probably several weeks. So, probably the best solution is for the beader to pay for his full order and include a shipping deposit. You could both keep track of how much of the shipping deposit remains in each account, and replenish this over time.7) Other shipping and insurance information:
We will ship to anyone whose order is $50 before the discount. Please make sure each individual understands this. We request that each individual (or the person who places the order) make sure that the totals reach $50. For those individuals who order less than $50, please either include that in your own order or combine it with some other individual's order. We will not make a separate invoice for orders below $50.
We require that all packages be insured. Please note that this does not mean that the customer must sign for the package. In almost all cases no signiture will be required. The only exceptions to this would be for unusually large orders shipped to one address, or if the address is known to be an insecure shipping address from our past experience.
We charge the exact shipping and insurance for each package. There is no handling fee. Take note that the insurance rates we use are actually lower than the regular insurance rates charged by USPS, because we have a 3rd party insurer. Packages shipped by USPS are insured at $1.00 per $100 value. (The $1.00 fee applies to orders from the minimum up to $100. For packages between $100 and $200 in value the insurance is $2.00, etc.)
Via UPS the insurance rate is free for the first $100, and $0.55 per $100 after that.
International packages have a different rate.
We send out automatic email confirmation for all shipments (provided we have the correct email address for each individual). Packages shipped by USPS include a free delivery confirmation number, so the customer can see that the package has been mailed with our Post Office. Packages via UPS include free tracking numbers.
Generally we will choose the least expensive shipping method for each package. However, if a quicker method is available that is very close in price to the slower method, we might opt for the faster method depending on the difference.
You can request a specific method for any individual order if you like. The options include any form of UPS (ground, 2nd day, 3rd day, etc.) or USPS priority or first class mail. Once a package is at least 13 ounces in weight, first class is no longer available.
We do not use FedEx as a regular shipper, so please don't request this. For some special orders we could use FedEx, but it involves a lot of extra work on our part and would not want to use that for bulk orders.8) Additions or changes to orders:
We will not be able to make changes or additions to orders once they have been shipped, unless, of course, we have made some mistake. It is important for us to keep these orders simple and straightforward as possible.We recommend that you send a link to this web page for each of the members of your group, to make them aware of this new offer.
